Terms of Service
Last updated October 23, 2026
These terms are an agreement between Tracewell (“we”) and the business that uses Tracewell (“you”). By using Tracewell you agree to them. If you accept them for a business, you confirm you’re allowed to act for it.
1. The service
Tracewell is a counter system for COAM game rooms: the Tracewell POS app and the servers behind it. We may improve and change its features over time.
2. Your store login
We set up your store’s username and password. Keep them confidential and share them only with your own staff. You’re responsible for what happens under your login. Tell us right away if you think someone else has it.
3. Price and payment
Tracewell costs $100 per store per month, unless we’ve agreed on a different price in writing. You pay monthly in advance by card through Stripe, and the subscription renews each month until it’s canceled. Any taxes that apply are extra. We’ll give you at least 30 days’ notice before a price change.
We may offer a free trial or free period. When it ends, your store needs a paid subscription to keep signing in. If a payment fails, Stripe tries again; if it still can’t be collected, we may suspend access until it’s paid.
4. Canceling and refunds
You can cancel anytime from your billing page or by emailing us. Your store keeps access until the end of the month you’ve paid for. Payments aren’t refunded for partial months, except where the law requires it or if we charged you by mistake; tell us within 30 days of a charge you think is wrong.
5. Your responsibilities
- Follow the laws and rules that apply to your business, including Georgia’s COAM laws and the Georgia Lottery Corporation’s rules.
- Decide what player information you collect, and tell your players about it as the law requires.
- Check what your staff enter, and the records and reports Tracewell produces.
- Provide your own devices and internet connection, and keep the devices secure.
6. A record-keeping tool, not advice
Tracewell helps you keep accurate records. It doesn’t make your business compliant on its own, and nothing in it is legal, tax or accounting advice.
7. Your data
Your store’s data belongs to you. You allow us to host, process and back it up to provide Tracewell, as our privacy policy describes. We don’t sell it. You can export reports from the app at any time, and ask us for a full copy, including for up to 90 days after you cancel.
8. Acceptable use
Don’t use Tracewell for anything illegal, share your login outside your store, try to get around its security or limits, copy or reverse-engineer it, or interfere with how it runs for others.
9. Availability
We work to keep Tracewell running and back it up every night, but we can’t promise it will always be available or free of errors. When we need to do maintenance, we’ll try to do it at quiet hours. Support is by email.
10. Suspension and ending
We may suspend or end access for non-payment, for a serious breach of these terms, or to protect Tracewell’s security. You may stop using Tracewell at any time.
11. Disclaimer
To the extent the law allows, Tracewell is provided “as is”, without warranties of any kind.
12. Limit of liability
To the extent the law allows, we aren’t liable for indirect, incidental, special or consequential damages, or for lost profits or data. Our total liability for any claim is limited to what you paid us in the 12 months before it.
13. Indemnity
You’ll cover us against claims that come from your use of Tracewell in breach of the law or these terms, or from information you collect about your players.
14. Changes to these terms
We’ll post changes here and email you about significant ones. Using Tracewell after a change takes effect means you accept it.
15. Law
These terms are governed by the laws of the State of Georgia, and disputes go to the state or federal courts located in Georgia.
