Getting started
Welcome to Tracewell. This page takes you from install to your first closed period. Keep the store username and password we sent you close by.
1. What you need
- An iPad with iPadOS 16.4 or later. An iPhone works too.
- Internet at the counter: the store’s Wi-Fi, or a phone’s hotspot.
- Your store’s username and password, from us.
2. Install Tracewell POS
On the iPad, open the install link we sent you and install Tracewell POS. While Tracewell is in early access, the link opens Apple’s TestFlight app: install TestFlight from the App Store first, then tap Install next to Tracewell POS.
When the app asks to use the camera, allow it. It photographs win slips, machine reports and players.
3. Sign in
Enter the store’s username and password. The iPad becomes your first counter; each iPad you sign in after it becomes the next one, and they all show the same live numbers.
To pick your own password, tap the gear at the top right, then Store login. Share the login only with your staff.
4. Check your setup
Under the gear at the top right:
- Machines
- Machine numbers and game names, set up from what you told us. Add, rename or deactivate them here.
- Store and limits
- Store name and license number, credit and redemption limits, minimum player age and time zone.
- Counters
- Every iPad signed in to the store. Remove one that’s lost or replaced.
5. At the counter
- Players
- Register a player with their name, mobile number and date of birth, and take their photo if you like. Find them later by name, phone or card number.
- Win Slip
- Photograph the slip. Tracewell reads it and credits the player’s wallet. A slip can only be used once.
- Debit
- Redeem a player’s credits for lottery, a gift card, in-store purchases or replays, or split across them.
- Credit
- Add credit by hand when there’s no slip to scan.
- Home and Activity
- Home shows the drawer for the period: start amount, redeemed, current and anticipated drawer. Activity lists everything that happened.
Made a mistake? Open the player, tap the transaction in their history and choose Reverse. Transactions are never edited, only reversed, so your records always add up.
6. Closing
- Close period
- On Home, tap Close period and take the photo of each machine’s report. Tracewell reads the numbers and asks you to confirm any that don’t match. Then enter the starting amount for the new period.
- Close bookkeeping
- Works the same way, with the bookkeeping report.
- Reports
- Tap the shield at the top right, then Reports, for totals and machine figures over any dates. Export them as CSV or PDF.
Good to know
- If the app says it can’t reach the server, check the internet connection and tap Retry. Nothing is saved twice.
- If a player asks for their information to be deleted, open their page and tap Delete personal details. Their balance has to be redeemed first.
